REGULATIONS OF DRUSKININKAI RUN AND ORIENTEERING (HALF-MARATHON)

 

GENERAL PART

Druskininkai Sports Centre and Association ‘SPORTO RENGINIAI’ organise international Druskininkai sports event (half marathon) on 4-5 April 2020.

 GOALS AND OBJECTIVES

  1. To encourage foreigners’ interest in Lithuania and Druskininkai.
  2. To develop links with other cities which organise marathons.
  3. To promote running and track and field athletics in Lithuania.
  4. To increase the number of mass events in Druskininai. To encourage physical activity among the city residents.
  5. To promote running as part of a healthy lifestyle.
  6. To identify the best Lithuanian half marathon runners and orienteers within various age groups.

 LIABILITY AND RESPONSIBILITIES OF THE EVENT ORGANISERS

  1. To register the participants of the event, to make and issue bib numbers.
  2. To measure, certify and technically prepare the route for the running according to the IAAF Competition Rules and Road Race Association (AIMS) requirements.
  3. To advertise the event and run a public relations campaign in order to promote half marathon and attract as many participants as possible.
  4. To limit or completely stop the traffic on the streets in which Druskininkai half marathon competition and other related events will take place. 

DISTANCES OF THE EVENT

  1. half marathon (21.097 km) + ~10 km orienteering race (optimal route)*;
  2. 10.5 km running + ~5 km orienteering race (optimal route)*;
  3. 4 route running (additional route, according to the wishes of the participants- 42 km);
  4. relay race 2x10.5 km;
  5. 5 km running;
  6. 1 km running;
  7. the great orienteering maze;
  8. the small orienteering maze.

   * - participation in both events is not mandatory.

 TIME AND PLACE OF THE EVENT

4 April 2020, Pramogų Square, Druskininkai.

 11:00 a.m. – half marathon (21.097 km)

11:00 a.m. – 2x10.5 km relay race;

11:00 a.m. – 10.5 km running;

11:00 a.m - 4 raute running;

1:45 p.m. – 1 km running;

2 p.m. – 5 km running.

5 April 2020, Pramogų Square, Druskininkai.

 11:00 a.m. – orienteering races, ~10 km or  ~5 km (optionally).

 TIME LIMIT

  1. Half marathon – 3 hours.
  2. 4 raute running - 5 hours;
  3. 5 km running – 1 hour.
  4. 1 km event is not timed.
  5. The electronic system of time measurement will be turned off at 4:00 p.m. on the running day and afterwards time will not be recorded. At 3:00 p.m. the town streets will be opened and the organisers of the marathon will not be responsible for the safety of the runners still remaining on the running route. 

10 km orienteering race – 2 hours 

5 km orienteering race – 1 hour

SI card rent cost 1 eu.

 PARTICIPANTS

  1. Every person wishing to take part in the competition will be admitted after filling in the entry documents. The participants take part in the event of their free will and without compulsion, accept all the risks (unexpected health problems, etc.) related to the competition and undertake not to make any legal claims in this respect to the organisers of the half marathon by signing their waiver. At the time of the issue of a bib number, the participant must have a personal identification document. Responsibility for minors participating in the event shall rest with parents, guardians or coach.
  2. By registering for the event every participant automatically agrees to the use of images or videos in which he/she appears for marketing purposes without an additional consent of the participant.
  3. Only children born in 2008 and later and accompanying persons can participate in the 1 km running.
  4. Everyone who wishes is welcome to take part in the 10.5 km and 5 km running.
  5. Disabled persons may also take part in the competition provided that their disability does not prevent them from finishing a particular event route, which must be accessible for people with disabilities. In order to participate in one of the events of a particular competition, a participant should submit a medical certificate allowing him/her to compete in the running event. Disabled participants will be offered a 50% discount on a starting fee. With regard to participation in the event, registration and a discount, a participant should contact the organisers by e-mail info@sportorenginiai.lt.
  6. While registering the team for a relay race, in the Team section of the registration form, the same (full and correct) team name must be provided for each team member.
  7. Only people who are born in 2002 and earlier can participate in the half marathon. Age groups of participants of the half marathon:

 SPECIAL TERMS AND RESTRICTIONS

  1. Participants can register for any event only in their own name. Transfer of a bib number to another person is strictly forbidden. Otherwise participants will be disqualified and the results will not be included into the official competition results.
  2. If a registered participant wants to change the originally chosen route to a shorter one, he/she will be charged a EUR 6 distance change fee. If he/she is willing to change it to a longer one, he/she will have to pay the difference in a starting fee valid on that particular day.
  3. Every participant of the competition must have a bib number fastened neatly on the T-shirt. The bib number has to be fastened on the front of the T-shirt and be clearly visible.
  4. Participants and their supporters are strictly forbidden to use any kind of transport, e.g. bicycles, roller-skates, skateboards and other wheeled vehicles. In the case of a breach the participant will be disqualified.
  5. Participants are not allowed to have any personal escort during the race. In the case of a breach the participant will be disqualified.
  6. No animals are permitted on the route during the race.
  7. Each participant must attach the time measuring electronic device on his/her bib number (except for the event for which time is not recorded). Time results will not be included into the race results and the time will not be recorded if the participants fail to attach/properly attach the ‘chip’.
  8. Any deviation from the set course (without permission of the referee) is prohibited. In the case of a breach the participant will be disqualified.
  9. Any possible claims must be submitted in writing to the main referee of the competition within 30 minutes of the end of the competition. When submitting the claim, the participant will be required to pay a fee in the amount of EUR 30, which will be refunded if the claim is satisfied by the appeal commission (the director of the half marathon, main referee). The claims shall not be considered unless the fee is paid.

 SPECIAL STATIONS ON THE ROUTE

Catering stations will be set up along the course of the half marathon, where participants will be given energetic drinks, water and fruits.

 EVENT MEDAL

Organisers of the Druskininkai Half Marathon and Eurovaistinė Trakai Half Marathon event series will produce a special common medal divided into two parts reflecting the specific event and the series of the events. After finishing one of the aforementioned half marathons, you will receive a medal dedicated to the particular event. You will collect a full two-piece medal after finishing both events.

 AWARDS

Half marathon (21.097 km) + 10 km orienteering race awards:

Procedure for rating the participants:

  1. A participant must start and finish in both events;
  2. The points of both stages are summed up;
  3. The participant is rated based on the overall result of both events.
  1. a) 1st to 3rd place winners (men and women) will be awarded cups and cash prizes (to be paid to the winner’s bank account).

      1st place – EUR 300

      2nd place – EUR 200

      3rd place – EUR 100

      4. All participants of the half marathon (21.097 km) who cross the finish line within the time limits will receive commemorative medals.

      5. All two half marathon (not orienteering race) cup winners in the veterans age groups (V – V70 and M – M70) will receive special prizes after the second event.

  1. 1st to 3rd place team winners will be awarded with sponsor gifts (further information will be provided later).

 STARTING FEE

Starting fee for the half marathon + 10 km orienteering race participants:

  1. registered until 29 February 2020 – EUR 15;
  2. registered on 1-31 March 2020 – EUR 17;
  3. registered on 1-4 April 2020 – EUR 19;

  Starting fee for 10.5 km running + 5 km orienteering race participants:

  1. registered until 29 February 2020 – EUR 9;
  2. registered on 1-31 March 2020 – EUR 12;
  3. registered on 1-4 April 2020 – EUR 15;

 Starting fee for relay race participants:

  1. registered until 29 February 2020 – EUR 7 (per team member);
  2. registered on 1-31 March 2020 – EUR 8 (per team member);
  3. registered on 1-4 April 2020  – EUR 10 (per team member);

 For participants of the 5 km race:

  1. registered until 29 February 2020 – EUR 9;
  2. registered on 1-31 March 2020 – EUR 12;
  3. registered on 1-4 April 2020 – EUR 15;

 For participants of the 4 raute race:

  1. registered until 29 February 2020 – EUR 9;
  2. registered on 1-31 March 2020 – EUR 12;
  3. registered on 1-4 April 2020 – EUR 15;

 For participants of the 1 km race:

  1. registration of children under the age of 12 years (born in 2008 and younger) is free; for free registration please contact the organisers by e-mail  info@sportorenginiai.lt. Registration is free until 22 March.
  2. registered  on 23 March-4 April 2020 – EUR 5;
  3. registration price for the rest  –  EUR 5

The starting fee should be paid to the bank account of the Association ‘SPORTO RENGINIAI’: LT55 7300 0101 0353 7642 opened with AB Swedbank bank or via the Paysera payment system.

If the participant who has registered for the race does not pay the starting fee within seven (7) working days, he/she will be automatically removed from the lists of registered participants. To take part in the race, such a person will be required to reregister for the event. Payment must be made ​​in the amount of a starting fee valid on the day of payment. Improper payment of the starting fee will not be considered!

The starting fee is non-refundable and cannot be transferred to another participant.

Online registration is open until 3 April 2020 12:00 p.m. Participant bib numbers and time measuring devices will be distributed as follows:

On 3-4 April in Druskininkai – exact place and time will be notified at later.

 THE ROUTE

Half marathon – 2 circles, 10.5 km – 1 circle, relay race: each of the two participants run one circle of 10.5 km:

Pramogų Square, Nemunas riverwalk, cycle path ‘Star Orbit’, Vilniaus al., Pramogų Square.

5 km – 1 circle:

Pramogų Square, Vilniaus al., cycle path ‘Star Orbit’, Vilniaus al., Pramogų Square.

1 km – 1 circle:

Pramogų Square, Vilniaus al., Pramogų Square.

Orienteering race – Pramogų Square and the suburbs.

 PERSONAL DATA PROCESSING

  1. Association ‘Sporto renginiai’, legal entity number: 301119747, registered address: Parko g. 2, Juodšiliai, Vilnius District, e-mail:  info@sportorenginiai.lt, shall be the data controller responsible for collecting and processing of the data submitted by persons participating in Druskininkai Half Marathon.
  2. Association ‘Sporto renginiai’ is also the manager of the website www.druskininkairun.lt.
  3. Participants will provide data by completing the registration form on the website www.druskininkairun.lt. The following data will be managed in the legitimate interest of the data controller and for the purposes of organising, implementing and participating in Druskininkai Half Marathon:

3.1. name, surname, date of birth, as well as registration fee payment details shall be processed for the purpose of processing and administration of the participant’s purchase/registration during the event;

3.2. phone number, e-mail address, date of birth, gender, country, city/town, as well as the results achieved at the event (time, place reached) shall be processed for the purpose of information and event organisation (sending relevant information about the event, results and winner identification, awards preparation, determining of participant categories (by gender, age), etc.);

3.3. participant’s name, surname and e-mail address shall also be processed for direct marketing purposes with a prior consent of the participant.

  1. A participant must submit the details referred to in clauses 3.1 and 3.2 for the purposes of registration and attainment of the goals and objectives of the event.
  2. Data about the participant’s name, surname, age group, gender, achieved results (time, place reached), as well as the city/town and country shall be publicly available on the website www.druskininkairun.lt. In order to ensure transparency of the results, by registering for the event the participant automatically agrees that the data will be made publicly available on the website.
  3. By registering each participant agrees that the organisers of the event may, at their own discretion and without a separate consent, use the images and footage of the event for marketing purposes, for example in social media, on the website, etc.
  4. Participants’ data shall be kept as follows:

7.1  telephone number and e-mail address – 5 years of the participant’s registration date;

7.2 participant’s name, surname, date of birth, gender, country, city/town, as well as details of the results achieved at the event (time, place reached) shall be kept for statistical/historical purposes and shall not be deleted;

7.3 participant’s name, telephone number, e-mail address to be used for direct marketing purposes – 5 years of the date of such consent.

  1. The participant shall have the right to request that the Association ‘Sporto renginiai’ provide access to, rectify or erase the participant’s personal data or restrict data processing.
  2. If the data are processed for direct marketing purposes, the participant has the right to object to such processing at any time. The participant may exercise this right by sending a notice to info@sportorenginiai.lt.
  3. The participant has the right to submit a complaint to the State Data Protection Inspectorate regarding acts/omission by the Association ‘Sporto renginiai’, which, in the opinion of the participant, constitute a breach of the provisions of legal acts.
